Administrator

We are looking for an Office Administrator to join a brilliant team based in Farsley in Leeds!

Job Purpose:

To enable the proper flow of office procedures, and to support the Admin Team Leader, Directors and Engineering team by carrying out common office and warehouse duties. To maintain a positive and friendly company image by acting as the first line of contact to visitors, customers and vendors in person, online and via telephone.

Office Administrator/Stores Operative Duties:

  • Communicate with clients to arrange appointments and respond to queries and breakdown calls, often dealing with individuals with communication difficulties.
  • Creation and management of engineer and sales job sheets
  • Send out appointment letters and other correspondence
  • Create and manage client files
  • Compile and send quotations
  • Manage Engineering Diaries
  • Take Orders, Sales Queries and Payments
  • Answer simple technical queries as first line support for customers
  • Arrange meetings by scheduling appropriate meeting times, resources and people
  • Deal with day to day correspondence
  • Photocopying and filing
  • Role involves working in the stores warehouse which will involve lifting and handling
  • Unpacking, checking, receipting and recording of incoming supplier stock orders
  • Picking, packing, checking, invoicing and despatching of customer stock orders
  • Stock Asset Numbering and Tracking
  • Regular stock taking
  • Office cleaning
  • Understanding of Quality Management System (QMS) in relation to the business procedures
  • Other duties as required

Office Administrator Skills and Qualifications:

  • Strong Attention to Detail
  • Excellent literacy and numeracy skills
  • Ability to work both as part of a team and solo without supervision
  • Strong Time Management Skills
  • Excellent Communication and Customer Service Skills
  • Able to deal with customers over the phone that have communication difficulties
  • Prior Office Experience is essential
  • Good level of IT skills, including proficiency with Microsoft Office
  • Sage 50 experience
  • Ability to handle confidential information
  • Strong Record Keeping Skills
  • GCSE Grade C or above in both Maths and English
  • Physically Fit and capable of lifting and carrying

Hours are Monday to Friday 9am – 5pm with half an hour for lunch (37.5)

Salary is £24,500 per annum
